Guestline PMS API booking engine for a boutique hotel group

A wedding guest decides to book a room at eleven at night, on their phone, after the group chat finally agrees on a date. If your booking process needs a phone call or an email back, that booking might never happen.

For a boutique hotel group, we built a bespoke booking engine on the Guestline PMS API, so guests can find rooms, add extras and pay in one smooth journey, at any hour of the day.

The challenge

The venue hosts weddings and events, and those bring groups of guests who each need a bedroom. Staff were handling enquiries and room allocations by hand, and generic booking widgets did not fit how the venue sells. The group wanted its own branded experience, while keeping Guestline as the property management system that runs the hotel.

What we built

We created a bespoke hotel booking engine that sits on top of the Guestline API. Guestline remains the source of truth for availability, rates and reservations, and the booking engine gives guests a far better front door. It delivers:

• 24/7 online bookings. Visitors can book bedrooms for weddings and events whenever suits them.
• Live availability and rates pulled from the PMS, so what guests see is what the hotel can sell.
• Payment capture as part of the booking, so reservations are secured on the spot.
• A modern, mobile-first design. The journey was designed for phones first, then scaled up for tablets and desktops.
• Upsells within the journey, so guests can add extras while they book.
• Email confirmations with the full booking details, sent automatically.

The booking journey

The guest searches with their dates and party size, chooses a room, adds any extras, pays and receives a confirmation email. Each step reads and writes through the Guestline API, so reservations land in the PMS as normal and the reception team works exactly as they always have.

The result

The group now has a booking platform that feels like part of its brand, takes bookings around the clock, and cuts down on the back and forth by phone and email. Guests get a faster, clearer experience, and the team gets reservations delivered straight into the system they already use.
