DVLA Vehicle Enquiry Service API integration for fleet management

Every vehicle in a fleet comes with dates that matter. MOT expiry, road tax, and the details that need to be right on every record. Track them in a spreadsheet and sooner or later one slips.

As part of the fleet management module in a bespoke ERP, we integrated the DVLA Vehicle Enquiry Service (VES) API, so vehicle information comes straight from the source and checks happen without anyone having to remember.

The challenge

Fleet managers need accurate vehicle data and early warning on compliance dates. Looking vehicles up one at a time on a website, then typing the results into a system, is slow and invites mistakes. A missed MOT can take a vehicle off the road, and a wrong record can cause problems well beyond the office.

What we built

We built the VES integration into the ERP's fleet management tools. It provides:

• Registration lookup. Enter a registration number and the vehicle record is populated from DVLA data.
• Automated MOT checks. MOT status and dates are checked automatically for every vehicle on the fleet.
• Vehicle history and data. Key vehicle details are held against each record and kept up to date, alongside its history.
• Tax and status visibility. The team can see at a glance which vehicles are compliant and which need attention.

The result

New vehicles are added in seconds, and existing vehicles are checked on a schedule rather than when someone has a spare hour. The fleet team gets a clear view of compliance across the whole fleet, and the manual lookups and re-keying are gone.
